Edu-Help (“we,” “our,” or “us”) is committed to protecting the privacy and personal data of our volunteers and those we assist. This Privacy Policy explains how we collect, use, and safeguard personal data in compliance with the General Data Protection Regulation (GDPR) and Dutch privacy laws, including the AVG (Algemene Verordening Gegevensbescherming).

We collect and process the following personal data from our volunteers:

Registration Form:

  • Name
  • Phone number
  • Year of study
  • Bachelor programme

VOG Request (Certificate of Conduct):

  • Name
  • Phone number
  • Date of birth
  • Email address

Volunteer Contract with COA Refugee Center:

  • Name
  • Phone number
  • Date of birth
  • Email address
  • Other relevant contract-related details

3. Purpose of Processing Data

We collect and process your personal data for the following purposes:

  1. Volunteer Recruitment and Administration:
    • To register and evaluate potential volunteers.
    • To communicate with you about volunteering opportunities and schedules.
  2. Compliance with Legal Obligations:
    • To request a VOG (Certificate of Conduct) to ensure compliance with laws regarding working with vulnerable groups, such as children.
  3. Facilitating Agreements with Third Parties:
    • To complete and process contracts with refugee centers where you volunteer.
  4. Security and Safeguarding:
    • To ensure a safe environment for refugee children.

4. Legal Basis for Processing

We process your personal data based on the following legal grounds under GDPR:

  • Consent (Art. 6(1)(a)): You have provided explicit consent for us to process your personal data by completing our registration form and agreeing to the terms of volunteering.
  • Legal Obligation (Art. 6(1)(c)): We are required by Dutch law to request a VOG for volunteers working with vulnerable groups.
  • Performance of a Contract (Art. 6(1)(b)): Processing is necessary for the execution of contracts between you and the refugee center.

5. Data Retention

We retain your personal data only as long as necessary to fulfill the purposes described above or as required by law:

  • Registration data: Retained for the duration of your volunteer relationship and up to one year afterward.
  • VOG data: Retained for the duration required by Dutch law (typically up to five years).
  • Contract data: Retained as long as necessary for compliance with legal obligations or the contractual relationship.

After these periods, your data will be securely deleted or anonymized.


6. Sharing of Data

We share your personal data only when necessary:

  • With Refugee Centers: To process the volunteer contract.
  • With Dutch Authorities: For requesting a VOG and compliance with legal obligations.

We do not sell or share your data with third parties for marketing purposes.


7. Your Rights

Under the GDPR, you have the following rights:

  1. Right to Access: You can request a copy of your personal data.
  2. Right to Rectification: You can request corrections to inaccurate or incomplete data.
